What You Will Achieve
Your strong communication and collaboration skills will help the administrative team to run its operations efficiently. You will focus primarily on administrative coordination to functional areas. You will also be responsible for managing records and files, verifying data, responding to mails and scheduling meetings, amongst other things.
As part of the administrative support team, you have comprehensive knowledge and skills in your area and understand how related areas impact it. You take initiative to represent your department on cross-functional teams. You are proactive in sharing knowledge and expertise with others in your work group. You are seen as someone who promotes teamwork and always motivates others to achieve team objectives. How You Will Achieve It
- Create agendas, schedule appointments and issue meeting minutes when appropriate or as requested for meetings and conference calls.
- Suggest and implement process improvements for administrative tasks carried out across the department.
- Member of the Vaccine R&D administrative team which involves collaborating across teams to ensure the efficient operations of the department and site
- Facilitate resolution of difficult issues and problems that arise within scope of responsibilities.
- Handle all duties with a high degree of integrity, professionalism and confidentiality.
- Organize documents and maintain an inventory allowing for easy access.
- Provide administrative/secretarial support and serve as backup administrative/secretarial support for other departments, when necessary.
- Manage purchase orders through Ariba system and tracking invoices.
- Manage set-up and logistics for large and/or off-site meetings including catering orders.
- Assist with onboarding/offboarding activities of both colleagues and consultants (often brought in on short project assignments)
- Manage and process expense reports and travel needs for several departmental leaders
- Serve as point of contact for Consulting Engagement system – managing the process from start to finish.
- Manage mass-mailing communication system for departmental emails.
- Identify, evaluate, and partner with cost-effective vendors in the execution of the activities.
- Ensure accuracy of work and use judgment to determine work methods in different situations.
- Proactively and independently organize and expedite workflow and initiate follow-up, particularly when leader is offsite.
- Contribute ideas, fostering pace and enthusiasm, negotiating timely execution of work.
- Take personal accountability for quality of own work that impacts the department, manages own time, professional development, prioritize workflow.
Qualifications
Must-Have
- High School Diploma or GED
- 4+ years' experience
- Demonstrated planning and organizing skills
- Demonstrated administrative experience with an ability to carry out all office functions proficiently, and to complete quality work on a timely basis
- Excellent attention to detail and interpersonal skills
- Excellent judgment as well as the ability to work with confidential documents and information
- Proficiency in Microsoft Office Suite required, especially PowerPoint, Excel, Word, and other features
- Exemplary time management and prioritization skills. Ability to multitask in fast paced dynamic environment while demonstrating resourceful positive attitude and superior work ethic
- Strong sense of urgency and efficiency in completing work. Demonstrated ability to complete complex assignments independently, with high quality and speed, and superior problem-solving skills
- Ability to handle sensitive and confidential matters discretely and ensure confidentiality is maintained
Nice-to-Have
- Bachelor's Degree
- Corporate Admin experience in global-complex organization
- Experience using applications, such as Concur, WebEx and Ariba
- Ability to take direction and work with minimal oversight
- Prior experience as an Administrative Assistant supporting executive leadership in a global organization
- Knowledge of thepharmaceutical industry and healthcare environment
