Job Description

JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 3 provides competent and efficient administrative and clerical assistance for the College of Nursing Executive Associate Dean of Academic Affairs and the Assistant Dean of Student Affairs.

DUTIES AND RESPONSIBILITIES:

Handles communications (emails, memos, phone calls) for the Executive Associate Dean of Academic Affairs.
Manages incoming correspondence (emails, texts, mail) ensuring proper dissemination to the appropriate recipient.
Prepares meeting materials/packets, which includes gathering information pertinent to the agenda, disseminating meeting documents, creating/editing slide presentations using Microsoft PowerPoint, assembling packets, and distributing materials to all meeting participants.
Prepares letters for honor council, progressions, dismissals, probation, and other academic letter to students under the direction of the Executive Associate Dean of Academic Affairs.
Monitors the budget, including tracking account expenditures and assisting with monthly report generation.
Handles communications (emails, memos, phone calls) for the Assistant Dean of Student Affairs.
Participates in correspondence, scheduling, agendas, and other activities as needed associated with Student Affairs activities such as orientation and engagement activities.
Manages travel and travel expenses reports through the University travel system.
Serves as the person of first contact for the office by answering phones and greeting guests graciously and professionally.
Performs other duties as assigned.


MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of administrative support experience; OR Associate’s Degree and two (2) years of administrative support experience; OR Bachelor’s Degree in lieu of experience.

KNOWLEDGE, SKILLS, AND ABILITIES:

Ability to maintain confidentiality when handling student-related matters, correspondence and/or meetings.
Excellent verbal and written communication.
Ability to work independently and with little direction.
Excellent attention to detail and accuracy.
Ability to effectively use computer applications such as Microsoft Scheduler/Find Time, Microsoft Office, Microsoft PowerPoint, and IRIS
Ability to maintain a professional, outgoing, and team-oriented demeanor.
WORK SCHEDULE: This position may occasionally be required to work weekends and evenings. May occasionally require overnight travel.
