ROLE SUMMARY

The Administrative Lead (Business Support 4) colleague is a proactive and independent administrative professional contributing high-quality business results coupled with wider business process thinking, planning and input, based on advanced knowledge of the business. Has extensive knowledge and key skills within assigned line. Has thorough knowledge of the broader organization and its impact on the assigned line. Uses knowledge to advise colleagues and administrative partners. Utilizes their network to answer questions outside of area of expertise. Identifies problems and relevant issues in ambiguous situations. Anticipates and resolves broad range of problems or conflicts. Works with considerable autonomy, must be able to plan and prioritize effectively to accomplish a high workload. Works in conjunction with network of PRD and CD&O business support partners to ensure integrated and collaborative approach to support across the organization, align on best practices and business support deliverables.

JOB RESPONSIBILITIES

Includes but is not limited to:

  • Using own judgment to make decisions on complex, non-routine issues, within scope of responsibilities.
  • Determine own work priorities based on an understanding of department and supervisor’s needs.
  • Take initiative to make decisions on difficult issues within specified guidelines, even in absence of supervisor: Handle highly confidential material (e.g., new product information, organizational re-structuring plans) on a regular basis (e.g., shares information with the appropriate people).
  • Determines whether to send out materials in supervisor’s absence. Knows when and when not to give out lists of Pfizer representatives that include names phone numbers, etc., to external parties.
  • Interprets and relays most critical information to supervisor.
  • Takes initial steps to facilitate in the resolution of urgent/complex issues and notifies supervisor (e.g., knows the appropriate people to involve in handling a crises).
  • Understands how decisions will impact Pfizer and uses understanding when completing own work (e.g., plans around significant Pfizer events when scheduling large off-site).
  • Uses in-depth understanding of Pfizer organization structure to assist in supporting supervisor/staff member.
  • Identifies new resources to improve department operations and informs supervisor.
  • Independently gathers information from across Pfizer from appropriate individuals to assist in solving a problem.
  • Uses in-depth understanding of department/division products, services and customers to support supervisor.
  • Answers more difficult questions on department operations on behalf of supervisor.
  • Proactively anticipates customer needs/requests and takes appropriate action.
  • Establishes strategic, on-going relationships with key individuals internal and external to Pfizer to expedite completion of own work.
  • Facilitates in the resolution of difficult issues and problems that arise within scope of responsibilities.
  • Identifies administrative issues and recommends/implements most appropriate solutions that impact completion of own work.
  • Finds innovative ways to overcome significant obstacles/barriers to resolve own work issues (e.g., determines how to get materials to supervisor in a remote/foreign location).
  • Facilitates in the resolution of difficult issues and problems that arise within scope of responsibilities. Identifies administrative issues and recommends/implements most appropriate solutions that impact completion of own work.
  • Identifies and secures new or unique resources to implement solutions to complete own work (e.g., uses network to identify new vendor).
  • Analyzes the costs and benefits of a solution and presents recommendation to supervisor (e.g., calculates costs of new copier and compares to potential savings in time, outsourcing etc.)
  • Evaluates solutions for effectiveness and incorporates learnings into future work (e.g. evaluates what went well and what didn’t after coordinating a large off-site event and incorporates effective methods).
  • Represents supervisor in difficult situations, often with high-level internal/external parties. Often makes decisions and resolves issues in supervisor’s place, within scope of responsibilities.
  • Participates on behalf of supervisor/department in internal/external situations within established guidelines (e.g., conducts initial screening interviews for Support Staff candidates).
  • Schedules and plans meetings or events for department/division, inviting appropriate internal/external individuals on behalf of supervisor.
  • Independently participates on Pfizer task forces/committees within scope of responsibilities, keeping supervisor aware of issues, as appropriate.
  • Assists supervisor in the preparation of presentations (e.g., gathers information for presentation, creates graphics).
  • Accountable for special projects on a recurring or one-time basis from start to finish (e.g., plans and coordinates large off-site meetings, coordinates recruiting schedule and integration of new employees, conducts research/locates information via internet, library).

QUALIFICATIONS / SKILLS

  • Demonstrates expert knowledge and proficiency with general office procedures such as, customer service, e-mail etiquette, commonly used office software (e.g., Outlook, MS Office-Word, Excel, PowerPoint, Visio) and expert knowledge of Pfizer specific processes and procedures applicable to the line/Site (e.g., Teams, Yammer, GDMS, PT&E, ARIBA, Digital on Demand platforms). Skilled in utilizing the following Pfizer applications and systems: Microsoft Teams, Meeting Services, Reserve, SharePoint & GIDM).
  • Proactively balances tasks, activities and priorities for self and others.
  • Conducts all activities and makes decisions that are in accordance with Company policies & SOPs, Pfizer Values, & global regulatory guidelines (including cGMP/Culp/cGCP), environmental guidelines, as appropriate, etc.
  • Demonstrates an in-depth understanding of Pfizer organization structure, protocols and products/services/ customers.
  • Uses Pfizer-wide network to coordinate more complex tasks/activities/projects. Demonstrates an in-depth understanding of department/division operations, customers and goals/priorities.
  • Demonstrates in-depth knowledge in multiple areas of department operations (e.g., handles budgets/staffing, maintains key databases).

ORGANIZATIONAL RELATIONSHIPS

  • Reports into appropriate line within CDO and collaborates across appropriate functional lines.

Marlow, Sandwich or Walton Oaks, UK, with flexible working options.
