Gift Services Specialist
Position Highlights:
The Gift Services Specialist coordinates data base analysis and gift administration for the Foundation. This position coordinates gift and biographical data entry, data analysis, database management, reporting and acknowledgment of all donations. Conducts web-based research to accurately coordinate gifts. Independently write, prepare, export data for acknowledgment letters according to IRS guidelines. Create and export queries and analyze data for gift and financial reports. Perform database maintenance for Raisers edge. Supervise and train operations volunteer. Maintain system of archiving donor records through scanning and indexing. Communicate with donors, board members, honor memorial families, patients, volunteers, software/machine customer service, staff, and community.
Select Responsibilities:
- Ensure that donations are processed accurately and in timely manner. Perform analysis and research to determine correct coding.
- Manage gift acknowledgment process by independently creating acknowledgment letters, gift receipts and donor correspondence. Ensure the acknowledgment letters are written in accordance with IRS guidelines and the non-profit industry standards.
- Database Maintenance. Perform basic to complex database administration tasks within Raiser's Edge to improve data integrity and database performance. Execute Raisers Edge queries and exports as needed.
- Coordinate system of archiving records. Uploading all batches and correspondence into document management. Maintain system and plan for record retention. Periodically send dated records to storage. Organize and maintain computerized files and records.
- Coordinates with outside vendors and internal IT support on maintenance of folding machine, scanner, Perceptive Content software and Raisers edge.
- Prepares batches and deposits and reconciles reports from bank lockbox and credit card deposits. Assist Gift Services Supervisor with month/year end balancing of financial reports.
Credentials and Qualifications:
- Associate’s Degree
- Minimum of four (4) years of experience in an office environment with database experience.
- Excellent communication, interpersonal, and customer service skills
- Working proficiency with MS Office products and database.
- Superior keyboarding skills.
- Excellent organization skills; including the ability to prioritize and manage multiple tasks, meet deadlines, use logic and analysis in assigning data and possess exceptional judgment and integrity.
Preferred:
- Bachelor’s Degree
- Raiser’s Edge/Blackbaud or other fund raising experience.
