As a vital member of the US/Global Admin Cluster team, you possess in-depth knowledge and skills pertinent to your domain, along with an understanding of the impact on related areas. You are initiative-taking in representing your department in cross-functional teams and are known for sharing knowledge and expertise with your work group. You are recognized as a team player who fosters collaboration and consistently encourages others to meet team goals. Your methodical approach and organizational skills ensure that communication across departments and teams is fluid and uninterrupted.

ROLE RESPONSIBILITIES
- Provide the full range of administrative tasks across multiple platform leaders, including managing complex calendars, scheduling high-level, time-sensitive meetings, managing travel arrangements, and completing expense reports.
- Coordinate activities for complex meetings and events including ordering food and AV equipment, managing/setting up AV equipment on site, offsite issue resolution, and external visitor logistics.
- Identify, evaluate, and partner with cost-effective vendors in the execution of the activities.
- Create and maintain distribution lists, organizational charts and maintain electronic files via one drive.
- Manage purchase order intake forms and track payment of invoices as requested.
- Assist with meeting agendas, minutes, meeting follow-ups and expedite flow of work.
- Assist teams with ordering Office Supplies/Materials when requested.
- Assist with team communications such as announcements, reminders for town hall meetings, survey notifications, and other related tasks.
- Ability to anticipate and proactively resolve conflicts and employ tactful negotiation skills to resolve issues effectively.
- Handle all duties with a high degree of integrity, professionalism, and confidentiality.
- Coordinate and provide key information to other business units & teams as requested, and as appropriate.
- Be a Joy Champion embedding joy, recognition, and wellness elements across platform teams, collaborating, and engagement on these topics.
- Assist with on-boarding and offboarding of colleagues including vacation trackers and interview scheduling.
- Collaborate closely with administrative partners regarding coverage within the group when out of office.
- Work well in a self-directed environment, with minimal instruction, assumes increased levels of responsibility and takes accountability for decisions and outcomes.
BASIC QUALIFICATIONS
- Undergraduate degree (BS/BA) or High School Diploma and equivalent experience
- 4+ years' experience
- Previous experience demonstrating ability to proactively conduct administrative functions proficiently, and to complete quality work in a timely manner.
- Excellent attention to detail, time management, organization, and prioritization skills.
- Demonstrated experience coordinating domestic and international travel.
- Exhibit excellent critical thinking skills, consistently demonstrating resourcefulness and perseverance through ambiguous situations.
- Will take initiative and demonstrate a positive, enthusiastic attitude.
- Should have strong organizational, interpersonal, communication (written and oral), project management skills, and sensitivity for handling confidential information.
- Demonstrate ability to manage multiple tasks and deadlines independent of direct supervision and work collaboratively in a matrix organization.
- Highly flexible, motivated individual with ability to work independently and in team settings.
- Demonstrate efficiency and accuracy in all administrative functions.
- Strong working knowledge of Microsoft Office Skills: MS Teams, Word, Excel, PowerPoint, and Outlook
PREFERRED QUALIFICATIONS
- Bachelor's Degree
- Experience using applications, such as Concur, SharePoint, Reserve, and Ariba
- Ability to take direction and work with minimal oversight
