Summary

The Lead Coordinator, Research Operations, will work collaboratively with team members from the Office of Surgical Research, Research Faculty, and administrative leaders in the Department of Surgery and central offices at Baylor College of Medicine. The selected candidate will serve as the primary point of contact for the Office of Surgical Research and will triage requests from faculty, staff, and trainees. The Lead Coordinator's key responsibilities include operational management of research processes, project and timeline management, procedure development and mapping, and support of research initiatives, such as intramural seed funding, Translational and Innovation Research program, INSTINCT Surgical Technology and Innovation program, and ATLAS program. This position will play a primary role in organizing large department-wide and multi-department events such as the Annual Research Day Symposium, Shark Tank sessions, lab seminars, and seed award proposal sessions.

Job Duties

  • Serve as first point of contact for the Office of Surgical Research. (10%)
  • Provides advanced administrative support for the Office of Surgical Research faculty directors and the Research Operations Director to ensure smooth program operations.(5%)
  • Assists in the day-to-day operations of the Office of Surgical Research and maintains standard operating procedure and workflow documents. (5%)
  • Monitors the daily progress of departmental research initiatives and provides detailed updates to faculty directors and the Research Operations Director.(10%)
  • Manages the overall Office of Surgical Research master planning calendar and coordinates preparation of the annual report.(10%)
  • Creates, monitors and tracks documentation of research activities and serves as program coordinator for internal scientific review panels, Think Tank, Shark Tank, seed award events, and collaborative research events.(10%)
  • Monitors the daily progress of research projects, including progress report deadlines and budget expenditures and reporting.(10%)
  • Drafts letters, such as letters of seed awards, letters of support, and creates surveys/applications, polls, forms, etc. (10%)
  • Schedules or coordinates lectures, evaluations, meetings, rounds, seminars, ceremonies, or special events.(10%)
  • Provides administrative support for the Translational and Innovations Research and INSTINCT program directors and Research Operations Director, including maintaining calendars, scheduling meetings, preparing agendas, and meeting minutes. (5%)
  • Provide support to division coordinators for research initiatives. (5%)
  • Assists with program budgeting and strategic planning.(5%)
  • Assists with strategic planning, evaluation, and assessment, including data analysis, generating reports, and coordinating quarterly and annual reports requested by internal and external stakeholders.(5%)

Minimum Qualifications

  • High School diploma or GED.
  • Six years of relevant experience.

Preferred Qualifications

  • Bachelor's degree.
  • Two years of relevant work experience.
  • Project Management Professional (PMP) certification.
  • Familiar with Visio and Power BI.
