As a successful candidate, you will:

This position reports to the Manager, Sponsored Research Systems and will routinely review and analyze Research Operations business process, workflow procedures, and job functions to provide insight and suggestions for improvements. Participates in related projects to develop business cases during project initiation and maintenance, identifies business needs and develops functional requirements and prototypes for system design, develops testing validation requirements for system testing, and assist in change management strategies for adoption of new systems or system changes throughout the project life cycle. Collaborate with multiple stakeholder groups including the Office of Sponsored Research (OSR), Clinical Trial Support Services (CTSS), Research Business Operations, Office of Foundation Relations (OFR), Office of Technology Licensing (OTL), Corporate Finance, and Information Technology Services (ITS). Responsible for understanding research-related data and how it flows between the following systems: InfoEd Pre-Award Grant System, PeopleSoft HCM and FSCM, Grants Portal, ecrt Time and Effort, and iRIS. Also responsible for data quality control between the various research related systems.

Business Process and System Analysis

  • Understand and monitor sponsored research business and system processes and how they are defined between various stakeholders.
  • Understand sponsored research system configurations and how to troubleshoot system issues, including configurations for InfoEd, PeopleSoft, and ecrt.
  • Elicit requirements using interviews, document analysis, user groups, surveys, business process descriptions, use cases, scenarios, business analysis, task, and workflow analysis for sponsored research systems.
  • Proactively communicate and collaborate with stakeholders at all levels to analyze information needs and functional requirements and deliver the following as needed: Business Case Analysis; Business Process Documentation/Work Flow Diagrams; Functional Requirements/Business Requirements Documentation; Functional Specifications; Use Cases, mock-up of GUI Screen and Interface designs.
  • Understand the solution options that are available, guide project stakeholders, prioritize options based on merits, and recommend the best option.
  • Submit helpdesk tickets related to research systems. Responsible for following-up on ticket submissions and will partner with ITS to ensure patches and fixes have been properly tested prior to installation to the production environment.
  • Ensure that the InfoEd, ecrt, and PeopleSoft system research users’ interests are known and communicated to other project stakeholders.
  • Identify all the systems, processes and users that are impacted by the business problem, and/or the solution involved in the use of InfoEd, PeopleSoft, and ecrt.
  • Collaborate with developers and subject matter experts to analyze tradeoffs between usability and performance needs.

System and Sponsored Research Administration

  • Act as first point of contact to troubleshoot and resolve system issues with stakeholders.
  • Act as the liaison between the business units, technology teams and support teams.
  • Coordinates, designs, facilitates and delivers training sessions for research system users.
  • Maintains sponsored research system business configurations, including security and department tables.
  • Understanding of PeopleSoft chart-fields and GL and Project Costing business units.
  • Prioritize production issues, enhancements, and projects with and amongst teams.
  • Monitors routing and workflow to ensure proposals and awards are moving properly through InfoEd.
  • Partner with the other members of the RADM team to support the institutional grant related reporting needs.
  • Process sub award contracts for OSR through the contract management process.
  • Process grant awards for OSR through the contract management process.
  • Assist in the set-up and modifications of grant awards.

Sponsored Research Data Quality

  • Perform data entry and system processing for grant data.
  • Maintain the institutional record for proposed grants, and ensure accuracy and integrity of pre-award related grant data in the InfoEd application.
  • Develop and maintain data quality control reports related to grant data.
  • Performs other related duties as assigned or requested.

Your qualifications should include:

  • Bachelor’s Degree in Business Administration, Computer Science or relevant field is preferred.
  • Relevant experience may substitute for minimum educational requirements.
  • 3 to 5 years of experience as a system support analyst and process improvement or change management business analyst position in a non-profit organization is preferred.

Salary / Pay Rate Information:
Pay Rate: $34.64 - $53.70 / hour

The estimated pay scale represents the typical [salary/hourly] range City of Hope reasonably expects to pay for this position, with offers determined based on several factors which may include, but not be limited to, the candidate’s experience, expertise, skills, education, job scope, training, internal equity, geography/market, etc. This pay scale is subject to change from time to time.
