We are actively seeking Senior Administrative Support in the Department of Stem Cell & Regenerative Medicine as well as Neurodegenerative Diseases to provide comprehensive support for 2 department Chairs. This position requires a high level of professionalism, organization, and the ability to work independently with minimal supervision.Manages complex calendars, schedules meeting and appointments for senior management. Gathers data, summarizes, and develops custom reports.Requires thorough knowledge of company policy, organization, personnel, and services.The successful candidate will be adept at managing a variety of administrative tasks to ensure smooth and efficient operations.
As a successful candidate, you will:
- Organizes & expedites flow of work through administrator’s office; initiating follow up action as appropriate.
- Resolves routine and some complex inquiries and fulfills requests from internal & external business contacts using knowledge of division/department & organization policies & procedures.
- Establishes, maintains & has frequent access to confidential files, logs & records.
- Assists in planning & organizing special projects.
- Coordinate and book travel, including flights, accommodations, and itineraries.
- Orders laboratory and office supplies using the eProcurement system in Peoplesoft ERP and reconciles charges to ensure items are received.
- Prepare and distribute minutes of meetings promptly and accurately.
- Processes contracts within NTract as needed, working with vendors, OSR, OTL, Contract Management, and Legal.
- Assists department administrators with new employee onboarding.
- Oversee and manage complex calendars, schedule meetings, and ensuring optimal time management.
- Create and develop custom reports as needed.Initiates all business-related expense reimbursements including membership due renewals, travel reimbursement. Maintains detailed accounting of all expenses.
- Operate with a high degree of independence and minimal supervision
Your qualifications should include:
- High school diploma or GED
- 3-5 years responsible secretarial or clerical experience in a professional environment.
- Proven experience in an administrative role, preferably at a senior level.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to develop custom reports using various software tools.
- Attention to detail and accuracy.
- Ability to handle sensitive information with discretion.
- Strong problem-solving abilities and the capability to work independently.

Salary / Pay Rate Information:
Pay Rate: $26.03 - $40.34 / hour
