Job Description
The Department of Biological Sciences at the University of Tennessee at Martin is accepting applications for Program Resource Specialist.Job Duties include:
• To serve as general office manager for department to facilitate the smooth operation of departmental functions as they relate to our college, university, students, alumni, and public.
• Maintain and reconcile departmental operating budgets; maintain faculty CENS money; complete contracts as requested.
• Prepare all payroll documents (PIF, I-9s, time reports), process bid requests, requisitions, and purchase orders.
• Prepare budget revision requests; maintain equipment inventory records; complete questionnaires from auditors regarding departmental budget, personnel, and equipment inventory.
• Assist the department’s 15-20 faculty members, adjuncts, and other support staff in the performance of their duties.
• Assist with departmental search for faculty members by placing ads, etc.
• Prepare travel requests and reimbursements. Also, make travel arrangements such as requesting vans or cars.
• Train and supervise work-study students.
• Complete faculty overload and adjunct pay form each semester. Turn in release time to academic records. Enter overload information of faculty in Banner. Add additional pay in IRIS.
• Provide support to faculty participating with SOAR (student’s registration).
• In the absence of secretary, answer phones, greet visitors, answer questions, take message, process change of major forms and assign advisors, etc.
• In absence of research technician, check in merchandise ordered and deliver to appropriate faculty or store in appropriate location.
• Complete facilities space inventory, key inventory, and equipment inventory. Make corrections in IRIS. Do key requests for new faculty, adjuncts, and student workers.
• Assist with computer operations and prepare minor repairs to copier and other office equipment.
• Coordinate arrangements for graduate reception, location, order food, and send invitations to graduating students and parents.
Skills
• Computer skills (word processing, spreadsheets, internet, IRIS, Banner).
• Good organizational skills, excellent human relations skills, ability to work without supervision and quickly adapt to change.
Qualifications
Minimum Qualifications:
• High school or equivalent; specialized education with 2-3 years of office experience
Preferred Qualifications:
• Office management experience in a university or college setting.
• Computer experience with Banner and IR
