Summary

The Office of Surgical Research (OSR) within the Michael E. DeBakey Department of Surgery is seeking a Manager of Research Administration to manage and oversee pre- and post-award activities. The Manager of Research Administration will be responsible for various administrative, operational, and financial duties required to reach departmental goals and objectives. The Manager of Research Administration will support the Senior Associate Administrator and Faculty Directors on departmental research initiatives, such as intramural seed funding, the Translational and Innovation Research program, the INSTINCT Surgical Technology and Innovation program, and the Data Science program.

The Manager of Research Administration, under the direction of the Senior Associate Administrator, plans and executes administrative and financial activities including, but not limited to, budget development and grant submission, renewal, and closeout, compliance, and accounts management for the research programs of 12 divisions in the Michael E. DeBakey Department of Surgery. The Manager assists the Senior Associate Administrator in the operational and financial activities of grants and contracts management, in addition to assisting the faculty principal investigators with administrative and financial guidance pertaining awards management. The Manager maintains up-to-date and accurate records and reports of research awards processed and monitors research metrics as requested.

Employees with Certified Research Administrator (CRA) certification are eligible for certification pay.

Job Duties

  • Support the Senior Associate Administrator in overseeing the research activities of 12 divisions in the Michael E. DeBakey Department of Surgery, including pre- and post-award management, review of expenditures and fiscal performance, compliance, and documentation related to sponsored agreements submission and management. Addresses issues that impact or delay research contract execution and subsequent funding (rate) success.
  • Provide guidance and responds promptly to requests from faculty seeking to participate in sponsor-funded research through coordination of scientific review panel meetings, budget development, internal compliance approval oversight, award set up, and management.
  • Submit applications internally (BRAIN) and externally (sponsor sites).
  • Contribute to the development and review of budgets and budget justifications.
  • Act as a liaison between faculty, OSR, external sponsors, and Baylor central offices; proactively follows up on the execution, management, and closeout of research agreements.
  • Monitor the daily progress of research projects, including progress report deadlines, budget expenditures, and reporting.
  • Review expenditures from fund sources to verify accuracy, necessity, and compliance.
  • Assist with strategic planning, evaluation, and assessment, including data analysis, generating reports, and coordinating quarterly and annual reports requested by internal and external stakeholders.
  • Maintain up-to-date and accurate records and reports of research contracts processed, and monitors research metrics as requested.
  • Track the research agreement process through applicable databases and systems and communicates status in a proactive, timely, and accurate manner.
  • Optimize procedures and tools to improve the efficiency of OSR research processes.
  • Ensure compliance with all guidelines.
  • Perform other job-related duties as assigned.

Minimum Qualifications

  • Bachelor's degree.  Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
  • Four years of relevant experience.

Preferred Qualifications

  • Experience with grants and contracts.
  • Financial management experience. (invoices, accounting)
