Job Description

Summary

The division of General Thoracic Surgery in the Michael E. DeBakey Department of Surgery at Baylor College of Medicine is seeking a Senior Coordinator, Patient Support Services for detailed and timely scheduling of visits, tests, or procedures for patients of a busy and growing clinical practice. This position will provide active, focused administrative support and patient follow up for four surgeons on their respective clinic days. The ideal candidate will be highly organized, have impeccable follow up to receive information and prioritize direction from all faculty members.

The ideal candidate should exhibit a high level of organization and the ability to change priorities quickly without compromising workflow. Applicants must be comfortable delivering clear and purposeful communication as this role requires frequent patient interaction both in-clinic and by phone or written correspondence.

Job Duties

  • Organizes and schedules patient appointments for pre-operative and post-operative office visits, surgeries, radiology, tests, treatments or procedures.
  • Maintains detailed and accurate patient records daily by collecting and entering medical imaging and reports into electronic medical record systems, including the PACS System and EPIC.
  • Obtains appropriate orders, written approvals and documents for patient tests by interfacing with providers to identify current and future needs.
  • Receives and distributes patient records from primary care providers for review by Thoracic faculty.
  • Provides periodic backup coverage for the division's dedicated call scheduling team by answering and routing patient calls, booking or rescheduling appointments, and verifying insurance of new and returning patients. This division does not use the Patient Resource Center.
  • Communicates with compassion and concern for each patient's experience as they prepare for treatment of a life-altering medical diagnosis.
  • Initiates follow up correspondence with referring physicians as needed.
  • Reviews referral data and ensures all referral loops close in an effective and timely manner.
  • Provides administrative support for physicians as needed.
  • Performs other job-related duties as assigned.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Four years of relevant experience.
  • Medical Assistant certification through an accredited professional organization (AAMA, AMT, ARMA, NCCT, NAHP, or equivalent credentialing body)
