Job Summary

The Simulation Operations Coordinator provides ongoing administrative support for simulation operations, and the Director(s) of the Simulation Center with an emphasis on facility scheduling, purchasing and supply accounting, data collection and analysis, developing quotations and invoicing. This position will engage with faculty, staff, and students to maintain situational awareness over day-to-day operations and will also serve as a mentor to simulation interns.

Responsibilities

Duties include, but are not limited to:

CENTER SCHEDULING: HANDLES ALL SCHEDULING AND BOOKING OF ROOMS: Expertly administering the EMS management software to schedule all classes, events, and tours. Work collaboratively with all internal and external stakeholders to coordinate scheduling accurately (colleges/departments for course delivery by semester/annually). Prepare, communicate, and distribute the academic schedule for each term for all colleges scheduled in the space. Technical knowledge of all audiovisual services offered and instructional systems in space. Maintain the Simulation Center internal calendar to reflect daily courses. Ensure all required documents (case information, supply request forms) needed for scheduled activities are collected and loaded to the Sim Team folders as appropriate, as well as track and report facility utilization. Accept and process space reservation system requests or other assigned areas. Facilitates and coordinates changes to scheduled rooms by re-assigning rooms in the event of an emergency or course schedule changes. Provides information to decision makers by running queries, room matrixes, time conflict reports, confirmation reports, inventory reports, room utilization reports, and developing comparative data modules, graphs, and spreadsheets. Work with EMS Staff and IT to ensure all scheduling flows from each system appropriately.

CENTER INVENTORY: Maintaining equipment inventory. Maintain and track all supply inventory. Provide weekly inventory reports to the director. Forecasting equipment and supply needs. Coordinate all supply and inventory needs with the Office of the Vice Provost to order equipment and supplies as needed. Manage billing based on inventory requests and scheduling requirements for facility usage and supplies to support costs for both internal and external entities.

DECISION MAKING: Course scheduling for space and inventory requiring autonomy and a high degree of initiative to make decisions. Must be forward-thinking and able to handle and resolve conflicts that arise when there are competing requests for space. All decisions for course scheduling must be in alignment with strategic priorities.

OTHER: Perform other duties as assigned, including duties listed above, at times outside of the normal business hours or operation.

Required Qualifications

Associate's degree from an accredited college or university with three years of experience working with enterprise software applications (such as event/scheduling systems), including running queries, creating tables, and working with word processing and spreadsheet applications, OR High School diploma, GED or equivalent from a recognized State or Federal accrediting organization with four years directly related work experience.

Preferred Qualifications

Bachelor's degree from an accredited college or university and two plus years of experience in an academic health sciences and/or academic medical center with a demonstrated understanding of the educational healthcare environment. Knowledgeable of Event Management System (EMS) or comparable product.

Knowledge, Skills, & Abilities

Proficient in Microsoft Office and other computer software/databases

SKILLS

Excellent interpersonal, written, and verbal communication skills

Detail-oriented with strong organizational, prioritization, and customer service skills.

ABILITIES

Ability to maintain confidentiality.

Shift/Salary/Benefits

Shift: Monday-Friday (work outside of the normal business hours will likely be required of an employee in an exempt level position)

Pay Grade: 14

Salary: $36,197/ annually - $46,969/ annually

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
