The Sponsored Research Office (SRO) – Proposal Support Specialist reports to S&TPO’s Director of Sponsored Research and Contract Administration.  This position will be focused on both pre-award and post-award proposal support activities for responding to funding opportunities, and proposals for strategic partnership projects, cooperative research and development agreements and proposed work with other DOE national laboratories.  This role has a strong emphasis on understanding, monitoring and contributing to workflow processes and requirements for timely submissions, ensuring efficient operations, and meeting stakeholder needs.  This role would assist in the administrative and non-technical components of the process. 

Specific Responsibilities:

  • Monitor proposal packages for status and take appropriate actions when necessary to expedite workflow and communicate any barriers causing delays for approval.

  • Provide clear and concise verbal and written communications working with researchers, management, and internal/external staff to monitor and expedite proposal packages for review.

  • Assist SRO team for review of proposals and compliance with laboratory policy and procedures, and DOE orders governing specific proposal types and validate for completeness and accuracy of the proposal packages. 

  • Understand, interpret and apply DOE FFRDC and other federal regulations and guidance governing sponsored research and responses to funding opportunities.

Position Requirements

  • Bachelor’s Degree in Business Administration, Finance or a similarly related business field with 2+ years experience in a business, academic, or research environment. 

  • Experience in proposal development and contracting process.  Grants and Contracts administration experience at a university or research institution is advantageous.      

  • Attention to detail with the ability to interpret and prepare accurate documentation.

  • Proficiency in Microsoft Word, Excel, Outlook and Database/Workflow management software. 

  • Ability to work independently with a high degree of initiative in a deadline driven environment with multiple priorities.

  • Experience working in a team environment with strong teaming and communication skills.

  • Demonstrated commitment to professionalism, ethics and quality.
