What Your Job Will Be Like: We are seeking a highly motivated, professional, and positive Senior Management Assistant (SMA) to join the Strategic Talent Management Center. Under limited direction, the SMA will perform a diverse set of administrative duties directly related to the day-to-day operations imperative to the success of the Center Director and the Center. The SMA will partner with the Director, Senior Manager and Center Support partners and will be instrumental in the Center success. The Individual should possess a strong teamwork perspective, outstanding networking skills and a demonstrated ability to work with others in a fast paced and diverse environment to achieve success. On any given day, you may be called on to: + Provide expert professional administrative support for the Director; maintain their calendars. Assist with the management of the Director’s email inbox and respond on behalf as needed as well as marking and tracking urgent actions. + Project a positive, helpful, and professional image to the center teams, colleagues, and others. + Exercise considerable discretion, judgement and professionalism when handling and when exposed to sensitive information; share information on a need-to-know basis only. Honors confidentiality. + Arrange and facilitate as needed Director meetings, Tier Board meetings, All-Hands meetings. Plan and coordinate center admin support for center celebrations, Year End celebrations, etc. bringing your enthusiasm and creativity to the center. + Provide written center communications such as for Promotions, ERA Awards, Center Activities, etc. as needed. + Assist in preparing presentations, agendas, meeting minutes, etc. + Provide backup support to the D3K Executive Assistant and other SMAs as needed. + Lead the center administrative team; provide leadership and mentoring to administrative assistants. + Handle and prioritize multiple tasks simultaneously in a dynamic fast paced environment. + Administer Center office functions such as: arranging travel, collect distribute daily mail, order and maintain office supplies, ensures timely submission of timecards, maintain center training records, serve as the center’s property coordinator; track and coordinate facility projects. + Due to the nature of the work, the applicant must be able to work onsite. Location(s): 800 Qualifications We Require: Requires a high school diploma plus five or more years of directly related experience. To be qualified, the applicant must have passed, based on Sandia specified grades, the Sandia Secretarial tests. Additional Requirements: + The successful candidate is expected to work independently, exercise initiative, handle multiple issues simultaneously, and manage constantly changing priorities. Strong teamwork, leadership and organizational skills are imperative. + High-level of proficiency in Microsoft Office Suite. + Possess excellent interpersonal skills with the flexibility to establish and maintain working relationships with personnel at all levels. + Have a demonstrated ability to maintain a professional demeanor, remain calm under pressure, work independently, and exercise initiative; consistently role models behaviors that reflect Sandia’s core values. + Have ability to effectively organize and prioritize work, manage multiple assignments, and meet deadlines, while ensuring attention to detail. + Have experience in scheduling meetings and travel arrangements, including all logistical requirements. + Have excellent communications skills (oral and written), as well as demonstrated tact, judgment, discretion, courtesy, and the ability to honor confidentiality. + Have ability to interact and team effectively with all levels of internal and external customers. + Have a demonstrated ability to excel as a team member and team lead with office personnel and other OMAs to ensure maximum coverage in the center suite. + Be self-directed, able to work with minimal supervision, and able to interact and team effectively at all levels. + Have a proactive approach and the ability to look ahead/plan. + Possess excellent organizational and interpersonal skills, initiative, and have excellent office management skills. Required Testing: Applicants must meet the minimum pre-requisites to be scheduled for testing. The applicant will be contacted and scheduled for the next available test date. All applicants must be prepared to test upon application submittal. Once successful testing has been completed, the hiring manager will be notified. Full consideration will not be given to applicants that have not met all of the pre-requisites including testing. Interviews will not be scheduled until the applicant has successfully test-qualified and has been selected by the manager as a top applicant. Qualifications We Desire: + Two (2) Years of Sandia secretarial-related experience. + Have a strong understanding of Sandia's policies and procedures. + Possess a comprehensive knowledge and understanding of Sandia’s administrative procedures, be able to conduct business in a professional manner, and have experience in working with organizations throughout Sandia. + Demonstrated resourcefulness and use of contacts to assist in finding solutions to office challenges. + Confluence and SharePoint knowledge + Knowledge of EBI + Active Department of Energy "L" clearance About Our Team: The strategic talent management center provides a comprehensive and unified approach in developing and executing programs and processes designed to empower employees, maximize the employee experience and fostering innovation. The center is comprised of HR professionals in talent advisory, talent development, workforce effectiveness, knowledge management, and talent strategy.
