Position Summary

The Supervisor of Digital Pathology (DP) is responsible for staff supervision, laboratory policies and procedures within the Anatomic Pathology (AP) division. The DP supervisor ensures efficient and effective departmental operations, including departmental quality control and compliance adherence.

The incumbent will report directly to the AP Administrative Operations Director and the Medical Director of Digital Pathology. This individual will bring expertise to the coordination and completion of complex administrative tasks to support the operations of Digital Pathology laboratory. This individual will assist with short-term and long-term strategic and administrative decisions in collaboration with the administrative operations director, Medical Director, Pathology Informatics Division Chief, and Department Chair, working closely with the individual leads to provide high-level oversight to maintain the activity and workflows within the laboratory. They must demonstrate behavioral skills that contribute to a productive work environment and provide excellent customer service to the faculty and staff of City of Hope National Cancer Center and the enterprise to improve patient outcomes.

Key Responsibilities include:

  • Meet the daily workflow functions of a high workload/through put Digital Pathology laboratory.
  • Directly supervise employees within the DP laboratory, carries out supervisory responsibilities in accordance with the organization and division policies and procedures.
  • Responsibilities include assisting with interviewing, hiring, terminating, and training employees; planning, assigning, and directing work; annual appraisal performance; recognizing and rewarding and disciplining employees; addressing complaints and resolving problems.
  • Interview potential employees and make recommendations to the Admin Operations Director and Medical Director of Digital Pathology.
  • Coordinate and supervise the Lead DP technologists, lab technicians and other support staff.
  • Assists with schedules as necessary to maintain adequate technical coverage while maximizing efficient utilization of services.
  • Maintain the upkeep of the laboratory. Overseeing maintenance of supplies of reagents and other materials as min-max par levels.
  • Maintain the operations for digital pathology scanning, assessment of reproduceable results to maintain a high quality of diagnostic digitally scanned images.
  • Maintain and retention of a highly qualified and motivated staff.
  • Any other duties required to sustain and maintain the digital pathology services of the highest quality to promote exceptional patient care and outcomes.
  • Use comprehensive knowledge of scientific theory, departmental, State, and federal policies, and procedures to administrate the Digital Pathology service line.
  • Recognize, troubleshoot and resolve problems/adverse situations utilizing analytical thinking skills.
  • Guide and assist other staff in resolution of complex technical problems, recommending actions and evaluating outcomes
  • Assist with the writing and reviewing SOP’s
  • Maintains departments records, reports and files including Media Lab documentation.
  • Coordinate activities within and between the main COH campus Anatomic Pathology and assist with short-term and long-term administrative decisions in collaboration with the Admin. Operations Director, Medical directors, Division chiefs including the department Chair.
  • Provide oversight of the activities and workflows between the submitting laboratories. Works with the Directors and assists to resolve budgetary and/or laboratory operational issues. Monitor financials and serve as the secondary point of contact with other COH-NMC centralized offices.
  • Assist with renovations, expansion, and development of space.
  • Evaluates, validates, and completes requirements for methods and instrumentation in conjunction with Admin Operations Director, Medical Director, and Chair, Department of Pathology.
  • Oversees the utilization of the Laboratory Information Systems and Digital Pathology Software’s to ensure best practices are followed for data tracking to include microscope slides chain of custody, utilization of data, distribution of data etc.
  • Follow policies/procedures/regulatory requirements and perform other work assignments.
  • Comply with all departmental and organizational policies and procedures in addition ensures employee’s compliance with HIPAA, CMS, CAP, FDA, and state / federal , regulations as pertaining to specific diagnostic laboratories protocols and participate in corporate/departmental safety and quality activities.
  • Perform other work assignments as required to maintainsustain and improve quality care and testing outcomes.
  • In conjunction with the supervisors/leads, the Administrative Director is responsible for developing, implementing, coordinating, and maintaining disaster preparedness and a recovery plan for the Division of Anatomic Pathology.
  • Promote and assist with quality assurance activities to ensure the highest quality of digital images.
  • Maintain and verify results through evaluation of images include quality control and calibration.
  • Ensure staff are compliant, have the skillsets and tools to properly operate and maintain the digital scanners and other equipment
  • Perform other work assignments as required to maintain/sustain and improve quality care and scanning outcomes.
  • Keep open communication lines to Administrative Directors, Medical Directors, Chair, pathologists, and AP staff to maintain operational efficiencies and affectability.
  • Notifies Administrative Director of any employee performance problems/issues as they occur
  • Identifies critical issues to be communicated in complex situations and gives clear instruction to section personnel.
  • Provides constructive feedback to the direct reports regarding employee performance for the performance appraisal system.
  • Keeps Administrative Director informed of the general morale of employees and brings to their attention employee issues that may require management intervention.
  • Brings to the Administrative Directors attention issues that have not been resolved through normal channels and that may significantly affect service levels to clients.
  • Keep Administrative Director apprised of progress on assigned projects.

Basic education, experience and skills required for consideration:

  • Bachelor’s degree and completion of a certified clinical program in medical laboratory sciences (Histopathology) or equivalent education or work experience required and hold current registration, ASCP HT orHTL
  • 5 years’ experience in a supervisor/management role in an anatomic pathology laboratory with a sound knowledge of best practices. With two years’ experience in Digital Pathology.
  • Digital Pathology Association Certification

Required Certification/Licensure:

  • ASCP HT or HTL
