Job DescriptionEssential Functions (Job Duties)JOB PURPOSE
Assist in the development of innovative plans and strategies to engage alumni in meaningful ways, generate affinity, loyalty and enthusiasm for the School of Medicine (SOM) and provide purposeful cultivation and stewardship opportunities for donors. Coordinate the SOM Alumni membership program and coordinate in the development of strategies to increase membership, participation and retention.
Work in conjunction with the Associate Director of Alumni Affairs to implement and sustain a robust alumni program for the School of Medicine alumni and supporters. Participate in the planning, implementation and promotion of alumni programs, networking and reunion events.
Coordinate alumni/student engagement activities including HOST (Help Our Students Travel), Dinner with a Doc, Future Docs, Medical Specialty Lunches, Med Ed Prep, recent alumni and resident alumni programs. Collaborate with the SOM Office of Student Affairs and the Board of Student Organizations to ensure meaningful engagement opportunities for alumni and students.
Gain a thorough understanding of the alumni constituency to ensure plans and events are developed and implemented to meet the needs and interests of medicine alumni. Develop strategies to improve alumni data integrity.
Work collaboratively with the Dean and development staff to increase alumni support; cultivate and engage prospects for annual gifts; use planned activities to identify potential donor prospects; use communications to cultivate prospects, thank donors, and demonstrate the positive impact of alumni/donor involvement.
Facilitate the School of Medicine Alumni Association membership campaign. Collaborate with the membership committee of the SOM Alumni Board to develop and implement strategies to increase membership and improve member retention. Engage alumni volunteers to expand the School of Medicine's outreach and network with medicine alumni.
Responsible for coordination of alumni merchandise sales; including merchandise orders, maintain a current inventory, safeguard merchandise and prompt deposits of all sale proceeds.
Assist in developing and implementing a comprehensive alumni communication plan (e-newsletter, web site, social media) to reach and inspire the SOM alumni population. Work closely with the Division's Office of Alumni Relations to align strategies, communications and programming with overall divisional goals. Meet regularly to collaborate and review opportunities for partnership.
Remain current with medical school alumni relations and alumni association trends; serve as a resource on successful activities, alumni engagement techniques and methods.
Prepare project/event budgets and monitor expenditures to ensure compliance with university policy and procedures.
Adhere to confidentiality and data usage policy for the division.
This position requires a high level of commitment and enthusiasm. Due to travel requirements, evening meetings and special events, etc., incumbent must be willing to work extended hours and weekends as necessary.
Perform other duties as assigned.
Bachelor's degree from an accredited college or university in marketing, public relations, business administration or related field. Knowledge of fundraising software programs preferred.
Reasonable knowledge and understanding of university policies and procedures preferred.
Qualified candidate will have a minimum of three years experience as a marketing, event management or customer service professional. Higher education development or alumni relations experience preferred.
Direct experience with creating and maintaining effective alumni programs. Experience using social media preferred.
KNOWLEDGE,SKILLS AND ABILITIES
COMMUNICATION SKILLS: Ability to communicate clearly, concisely and professionally both orally and in writing. Strong interpersonal skills are a must.
PLANNING AND ORGANIZATION: Ability to manage several projects simultaneously, prioritize and plan work activities while meeting required deadlines. Strong organization and time-management skills.
ANALYTICAL AND PRESENTATION SKILLS: Ability to evaluate, interpret, and present complex information effectively in professionally prepared documents or presentations. Must possess a demonstrated attention to detail to achieve a high degree of accuracy.
TECHNICAL SKILLS: Proficient with Microsoft Office suite, especially Word, Excel and PowerPoint. Experience with Content Management Systems, Raisers Edge or similar fundraising software preferred.
LEARNING AGILITY: Independent and innovative self-starter who displays an ability to learn quickly and easily adapts to changing situations. Experience researching topics to gain knowledge and understanding when information gaps exist.
TEAMWORK: Ability to collaborate effectively with colleagues within the SOM, other units and external constituents to gain a full understanding of projects and desired outcomes; ability to produce high quality and consistent results in collaboration with team members; provide support to colleagues when necessary and required.
