Job Description


The Department of Neuroscience is seeking an experienced Research Administration Associate to work closely with research faculty (25+) on pre-award/post award management of basic science research. This individual will be a part of a team that will oversee the effort to secure funding for research by coordinating the pre-award/post award grant application process for faculty and other investigators (Postdoctoral Associates and Graduate Students) applying for federal, state, and private foundation grant funding.

Job Duties

Pre Award Activities

  • Consults with faculty regarding funding opportunities, eligibility, and application requirements for sponsored funding. This requires thorough review of guidelines for federal, state, and private sponsored grant opportunities.
  • Prepare grant applications through various sites such as ASSIST (NIH), Fastlane (NSF), (DoD), proposalCENTRAL (private sponsors) and others. This role requires a great amount of organization as several applications between various investigators can be submitted at the same time and can also involve working with multiple organizations to gather information/files for the proposal.
  • Operate as a liaison between faculty members and various institutions/organizations.
  • Prepare budgets for each application. Depending on the funding opportunities, these can range from $50K to $10M+ per project.
  • Certifies summary data in the College's electronic Biomedical Research and Assurance Information Network (BRAIN) which is used to route applications to our Sponsored Programs Office for approval.
  • Work closely with our Sponsored Programs Office to act as a liaison for our investigators to ensure any issues with applications are addressed in a timely manner.
  • Maintain (updated/edit) biosketches and other support files for PIs in the department.
  • Serves as an information resource for faculty, students, and staff- disseminating key information (research the Office of Research website or specific sponsor websites). Maintain current knowledge of grant funding policies, regulations, and procedures to advise and/or implement changes in the department processes.
  • Attends monthly workshops/trainings on research administration (presented by our Sponsored Programs Office and Grants department) and contributes to the development and improvement of the pre-award management process.

Post Award Activities

  • Assist investigators with annual progress report submissions for their funded grants.
  • Assist investigators with no-cost extensions on projects.
  • Prepares outgoing subcontracts for any newly funded grants in accordance with granting agency guidelines.
  • Oversees award processing for any newly funded grants (including incoming subawards). This will include to verify the account was created correctly and funds were loaded properly before transitioning to the post-award division of the department.
  • Conducts financial analysis and prepares special financial reports as necessary by the investigator or sponsor.
  • Performs other duties relative to the particular grant or contract being administered.

Minimum Qualifications

  • Bachelor's degree.
  • Two years of relevant experience is required.

Preferred Qualifications

Experience with grant post award.
