Position Summary

Responsible for the administration of academic personnel actions and records. This includes, but is not limited to: appointment, reappointment, evaluation, promotion, leave, assessment, development. This office is designated to handle all matters related to the academic appointments and promotion process of faculty with COH Medical Center and its community sites, and is the official repository for faculty records of individuals.

Key Responsibilities include:

  • Responsible for administration of contracts (Professor and Clinical Series) and non-contract (Visiting Faculty & Adjunct Professors) annual appointments.
  • Uses the Academic Appointments and Promotions (AAP) to assist in the day-to-day assignments utilizing applicable policies, procedures and practices to resolve a variety of new and routine issues, including providing customer service for the research staff and business managers.
  • Compile and maintain academic affairs files, including but not limited to, appointment files for clinical and research staff members.
  • Assists the Academic Personnel Program Manager in disseminating information to faculty, creating reports for Administration, and implementing processes related to academic personnel – BRI & MC
  • Prepares for and staffs Faculty Senate meetings, and Executive and Appointments & Promotions Committee meetings (agenda, minutes, catering, correspondence and follow-up).
  • Prepares academic appointment and promotion letters (Clinical & Research Series).
  • Maintains academic affairs database and master spreadsheet.
  • Assist in the appointment and promotion process and maintains system for effective data flow.
  • Assists the Academic Personnel Program Manager with annual training to COH Business Managers on OFA policies and procedures.
  • Works with the BRI & Medical Department Chair and Administrators to develop dossiers for faculty and to help in scheduling academic lectures and other requirements for appointment and promotion process.

Basic education, experience and skills required for consideration:

  • Associate Degree.
  • Experience may substitute for minimum education requirements.
  • Three years business management experience in an academic or research environment; including experience in budget development and personnel management. Demonstrated experience in financial and personnel management.

Preferred education, experience and skills:

  • Bachelor’s Degree.

Salary / Pay Rate Information:
Pay Rate: $25.27 - $39.17 / hour

The estimated pay scale represents the typical [salary/hourly] range City of Hope reasonably expects to pay for this position, with offers determined based on several factors which may include, but not be limited to, the candidate’s experience, expertise, skills, education, job scope, training, internal equity, geography/market, etc. This pay scale is subject to change from time to time.
