Job Summary

To provide the Vice Chair of Education with clerical/technical support including scheduling and attending meetings, preparing meeting agendas and the maintenance of meeting records.

This position will provide course support to the College of Medicine Course Directors in the basic science courses by:

independently coordinating and preparing course materials using the adopted technology;
coordinating and managing the electronic exam system by compiling, importing, and tagging exam and quiz questions in the computerized question bank;
organizing and converting NBME scores, importing scores into the official grade book, and submitting grades at the conclusion of each course;
preparation of quizzes and coordination of grading with the staff of Academic Affairs;
statistical analysis of quiz/test results;
assembling exams in the electronic system, generating hard-copy exam packets and proctoring onsite exams;
compiling student comments and responses following exams and distributing these to faculty;
developing and maintaining spreadsheets used to convert shelf scores to final grades;
assisting in training course directors in the use of the programs as needed;
ordering course supplies and assembling course handbooks;
assigning students into mandatory Small Groups and tracking their attendance for these groups; and
construction and management of the D2L sites for each course, including the addition and revision of lectures and test files from previous course sites and posting new material generated by each course faculty.
This position will also serve as a liaison between students, faculty, and course directors, as well as invited lecturers and adjunct faculty and/or visiting physicians to ensure the timely delivery of courses. This includes development and management of course calendars and course meeting dates, lectures, and exams, scheduling rooms and laboratories for courses, as well as required attendance at group and individual meetings with class officers and course directors for recordkeeping purposes.

Knowledge, Skills and Abilities
Knowledge and skills in use of computer software such as word processing, spreadsheets, ETSU electronic course management system (currently D2L).
Knowledge and skills needed to create and update departmental website.
Knowledge of ETSU timekeeping/payroll systems.
Knowledge of basic statistics to analyze examination results.
Knowledge of video calling/conferencing applications.
Knowledge of Apple technology to assist with maintenance and checkout of tablets.
Generalized knowledge of computers;
Knowledge of TBR, ETSU, and College of Medicine Student Governance.
Understanding of the need for professional conduct and for maintaining confidentiality.
Skills in effectively communicating with diverse populations.
Skills in developing/maintaining schedules of important milestones for each course.
Ability to learn evolving software programs used in medical school teaching ( e.g., iPads and apps used in courses).
Ability to develop records system to manage course materials.
Ability to develop and maintain systems that ensure Confidentiality of student records.
Ability to organize and record departmental course meetings.
Ability to perform under pressure of fast moving environment.
Ability to problem solve and make decisions as well as to accept responsibility.
Ability to manage electronic record keeping systems.
Ability to interact with a diverse group of people and the ability to communicate effectively.
Ability to maintain confidentiality of student records and student/faculty communications.
Ability to work with and organize educational activities with diverse faculty within the College of Medicine Department of Biomedical Sciences, as well as clinical faculty within the College of Medicine and community physicians within the region.

Required Qualifications
High school diploma or equivalent.
Three years of experience in use of basic computer software programs.
Preferred Qualifications
Five+ years of experience in a related area
Knowledge of ETSU policies and procedures * Knowledge of D2L, ExamSoft, and Tegrity.
