Project Coordinator

Position Summary:

This position provides project scheduling & administrative duties for the Orange County planning, strategy & project management office. Responsibilities include scheduling project meetings, preparing reports, assisting with meeting preparation, and customer relations. Requires strong computer skills. Also calls for flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
Must well organized, flexible and enjoy the administrative challenges of supporting multiple people. Must have the ability to positively interact with staff (at all levels) in a fast-paced environment, remaining flexible, proactive, resourceful and efficient; a high level of professionalism and confidentiality is crucial to this role. Excellent written and verbal communication skills; attention to detail important.

As a successful candidate, you will:

  • Demonstrate the ability to communicate with all levels of employees, physicians and the general public with the utmost professionalism and with strict confidentiality.
  • Responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex meetings. Responsible for scheduling all project meetings under the management of the department.
  • Responsible for maintaining and recording all department files related to strategic business operations, project status and supporting documents.
  • Review and summarize miscellaneous reports and documents; prepare background documents as necessary. Assist with preparation of presentation materials.
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.

Your qualifications should include:

  • Associate Degree;Experience may substitute for minimum requirements.
  • 2-3 years of experience supporting leadership at various levels or project coordination/administrative experience. Experience working with Microsoft Suite.
  • Word processing

Salary / Pay Rate Information:
Pay Rate: $28.63 - $44.38 / hour

The estimated pay scale represents the typical [salary/hourly] range City of Hope reasonably expects to pay for this position, with offers determined based on several factors which may include, but not be limited to, the candidate’s experience, expertise, skills, education, job scope, training, internal equity, geography/market, etc. This pay scale is subject to change from time to time.
